The Q1 Reality Check: How to Turn Your July-Sept Data into an Q2 Game Plan

Moushumi Sikand

I'm a certified CPA with years of experience working with small and medium sized businesses in a variety of industries. I've helped my clients streamline their accounting processes, create realistic financial forecasts, and make strategic business decisions based on their numbers.

I’ll be the first to admit it: by the time October rolls around, I’m usually nursing a bit of a “financial hangover.”

Do you know that feeling? You start the new financial year in July with all the fire and fury of a New Year’s resolution. You’ve got the fresh spreadsheets, the shiny goals, and that "this is the year I finally master my margins" energy. But then August happens. Then September. Suddenly, you’re knee-deep in client fires, staff reshuffles, and the general chaos of running a business.

A few years ago, I remember sitting at my desk in late September, looking at a pile of receipts and a bank balance that didn’t quite match the "vibe" I thought I was putting out. I felt like a total fraud. Here I was, a qualified CPA, and yet I was feeling that familiar pang of imposter syndrome. Am I actually making money, or am I just moving it around?

If you’ve ever felt that pit in your stomach, I want you to take a deep breath. You aren't a fraud. You're an entrepreneur. And guess what? That feeling is usually just a lack of clarity masquerading as a lack of capability.

But here’s the thing: we are officially done with Q1 (July to September). The data is in. And while data can be scary, it’s also the most empowering tool you have in your kit. It’s time to stop guessing and start listening to the tales your cashflow is telling.

Let’s turn those three months of "What just happened?" into a Q2 game plan that actually sticks.

1. Confronting the Mirror: The Power of Monthly Reporting

Most business owners treat their Profit & Loss statement like a scary movie, they only watch it through their fingers, and usually only once a year when the tax man comes knocking.

But if you want to grow, you have to fall in love with monthly reporting.

Think of Q1 as your "truth serum." From July 1st to September 30th, your business has been leaving a trail of breadcrumbs. Your reports tell you exactly where the leaks are and where the gold is hidden.

Are you spending too much on "software" that you haven't logged into since 2024? Is that one "big client" actually costing you more in staff hours than they pay in fees? You won’t know unless you look.

Your Q1 Data Deep-Dive Checklist:

  1. Review your Revenue vs. Budget: Did you hit the targets you set in July? If not, was it a sales problem (not enough leads) or a delivery problem (couldn't finish the work)?
  2. Analyze Gross Profit Margin: Are your direct costs creeping up? If you’re a creative agency or a medical professional, check your labor costs against your billable hours.
  3. Audit the "Other" Expenses: Look at every line item. If it’s not helping you generate revenue or keeping the lights on ethically, why is it still there?

2. Moving Beyond the P&L: Cashflow Planning for Small Business

I see it all the time: a business owner tells me, "Penny, my P&L says I made $50k profit this quarter, so why is my bank account empty?"

It’s the age-old riddle of the entrepreneur. The answer is usually hidden in the gap between earning money and receiving it. This is where cashflow planning for small business becomes your absolute superpower.

Profit is vanity; cash is sanity. In Q1, did your "Aged Receivables" (the money people owe you) grow faster than your bank balance? If so, you’re essentially acting as a free bank for your clients.

Why are we so afraid to ask for the money we’ve earned? We provide incredible value, whether you’re running a beauty salon, a construction firm, or a recruitment agency, you deserve to be paid on time. Wealth isn’t a dirty word; it’s the fuel that allows you to keep doing good work and looking after your team.

SMART Cashflow Objectives for Q2:

  • Objective: Reduce Debtor Days by 20% by December 31st.
  • Action: Implement automated invoice reminders in Xero and move all new clients to upfront deposits.
  • Resource: Check out our Xero Mastery Course to see how to automate these pesky follow-ups.

3. The Q2 Strategic Pivot: Setting Your Game Plan

Now that we’ve untangled the finances of the past three months, we need to look forward. October, November, and December in Australia are unique. We have the lead-up to Christmas, the "mad rush" to finish projects, and the inevitable summer slowdown.

If you don't have a plan for Q2, the season will run you, rather than you running the season.

Ask yourself: What does a "win" look like on December 24th? Is it a certain revenue figure? Is it having your BAS filed early so you can actually enjoy a prawn on the barbie without a looming deadline?

How to Build Your Q2 Game Plan:

  1. Identify Your Top 3 Revenue Drivers: Based on Q1, which services were your most profitable? Double down on those for October and November.
  2. Forecast Your Tax and Super: Don't let the October 28th BAS deadline catch you by surprise. Use your Q1 data to set aside the cash now.
  3. Schedule Your "Quiet" Periods: If you’re in building or professional services, you know things go quiet in late December. Plan your cash reserves now so you can pay yourself and your staff through the break.

4. Why You Don't Have to Do This Alone

I’ll be direct with you: as a founder, your time is worth more than $50 an hour. If you are spending your Sunday nights squinting at bank reconciliations or trying to figure out why your balance sheet doesn't balance, you are stealing from your own growth.

This is exactly why we offer virtual CFO services.

Imagine having a seasoned CPA in your back pocket who doesn't just "do the books" but actually sits down with you to interpret the data. Someone who looks at your Q1 results and says, "Hey, if we tweak your pricing by 5% and automate this one admin task, you’ll have an extra $3k in cash every month."

That’s the difference between a historian (who tells you what happened) and a strategist (who tells you what's going to happen).

We work with purpose-driven enterprises and creative agencies who want to focus on their craft, not their spreadsheets. Whether it’s Monthly Reporting or high-level strategic planning, we’re here to remove that "to-do list" burden.

The Final Reality Check

As we head into the second quarter of the financial year, I want to challenge you to shed the guilt. Shed the hesitation about wanting to be financially successful. When your business is profitable and your cashflow is managed, you are a better employer, a better provider, and a more present human being.

Is your Q1 data telling you a story of growth, or is it a warning sign that something needs to change?

Don't wait until June 30th to find out you've been heading in the wrong direction. The Q1 reality check is your chance to pivot, to polish, and to perform.
